Front Office Administrator

Who we are looking for…

We are seeking a dedicated and organized Front Office Administrator to join our team. As the first point of contact for our clinic, the Front Office Administrator plays a crucial role in ensuring a welcoming and efficient experience for all clients and visitors. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.

Regular Schedule: Tue-Thur 10am-7pm | Fri 8am-5pm | Sat 8:30am-1:30pm

The ideal candidate will thrive in a fast-paced environment, be flexible with constantly changing priories, a team player and must love talking on the phone!

Our Front Office staff have a direct connection with every client that walks in the front door or calls for services. You MUST have the ability to interact with our clients in a positive, encouraging way, display a professional demeanor, patience, empathy and exhibit a strong desire to help others. To be successful on our team you need to be a problem solver, practice ethical behavior and possess the ability to prioritize tasks while maintaining strong organizational and time management skills, all from the comfort of our reception desk. This role is in-office based, phone heavy and the definition of a desk job!

We need someone who can demonstrate excellent communication skills and be professional at all times, even in the face of client crisis.

Supportive service, keyboarding, filing and did we mention organizational skills are necessary. A strong knowledge of Microsoft and Google applications and data entry experience is required!

Ideal candidates for the position will have the following:

  • High School Diploma or equivalent required. Associates degree in Business Administration or related field preferred
  • Previous experience in a medical office or mental health setting preferred
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Ability to multitask and work efficiently in a fast-paced environment
  • Understanding of HIPAA regulations and patient confidentiality
  • Flexibility to work varying shifts as needed, Monday through Friday, within clinic hours of operation
  • Must be cleared and maintain verification under mandated criminal background screening for all Federal and State Agency regulations.
  • Must be energetic, motivated, self-sufficient, kind, and reliable
  • Proficient in Microsoft Office, Google and familiar with electronic health records
  • Demonstrable ability to connect with and provide support to a diverse client population
