Administrative Secretary

Job Summary: Ensure submission of and track all supporting documentation of billing documents. Verify that data is correct and communicate any concerns to the Director. Track key operational components such as property leases, fire drill and bi-monthly completion. Provide administrative supports to the Director.

 

Job Qualifications:

  1. High school diploma/GED required. Associates degree preferred with focus on office technology.
  2. Two years' experience in an office environment or experience with Therap / OPWDD is required.
  3. Must possess excellent word processing, typing, and general office skills.
  4. Must be proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  5. Must be able to relate well to the general public and the individuals we support.
  6. Must be able to read, write and speak the English language.
  7. Valid NYS Driver's license is required.
 

Major Responsibilities:

  1. Maintain the regulatory billing tracking system for the Residential program and maintain spreadsheet of data received.
  2. Follow-up to ensure all required billing related documentation is received and update existing data.
  1. Communicate any billing issues to the Residential Director.
  1. Maintain and track Fire Drill and Bi-monthly requirements for the region.
  2. Maintain the department/office work schedules and communication for the Operations Directors.
  3. Maintain property leases for county.
  4. Assist in coordination of agency events.
  5. Backup to switchboard.
